Privacy Policy
This privacy policy explains how SATIEE Ltd collects, uses and protects personal information through our website at satiee.co.uk.
1. Who we are
We are SATIEE Ltd (“we”, “us”, “our”), a company registered in England and Wales (company number 17197066) with our registered office at University of Bath Innovation Centre, Carpenter House, Broad Quay, Bath, BA1 1UD.
For the purposes of UK data protection law, we are the data controller of any personal information you provide through this website. That means we decide how and why your data is processed, and we are legally responsible for that processing.
We are registered with the UK Information Commissioner’s Office (ICO) under registration number ZC139807.
You can contact us about anything in this policy at info@satiee.co.uk.
2. The information we collect
We collect personal information in three ways:
When you book a demo through our Google Calendar appointment schedule. We collect your name, email address, company, the meeting topic you provide, and the date and time of your booking.
When you contact us through our online form (Google Forms). We collect your name, company and email address, along with anything you choose to write in the message.
When you visit our website. Our hosting provider, Cloudflare, automatically processes some standard technical information about your visit, including your IP address, browser and device type, the pages you view, and the date and time of access. This is part of providing and securing the website. We do not use it for analytics or marketing.
We do not knowingly collect any special category data (such as information about health or disability) through our website. If you choose to share that kind of information in a free-text field, please be aware that you do so voluntarily, and we recommend you don’t.
3. How we use your information and why
We use your personal information for the following purposes:
Responding to your enquiry or demo booking. When you contact us or book a demo, we use your information to reply, hold the meeting (demo calls typically take place via Google Meet), and follow up on what we discussed. Our lawful basis is legitimate interests — specifically, our interest in responding to people who reach out to us.
Operating and securing the website. We use the technical information our hosting provider processes to deliver the website, prevent abuse and fix problems. Our lawful basis is legitimate interests in running a working, secure website.
Complying with our legal obligations. Where we are required by law to retain or disclose information (for example, in response to a valid legal request), our lawful basis is legal obligation.
We do not use your personal information for automated decision-making or profiling that produces legal or similarly significant effects.
4. Who we share your information with
We do not sell your personal information. We share it only with the service providers and recipients described below.
Google LLC processes data on our behalf as the provider of Google Workspace, including Google Calendar appointment scheduling for our demo bookings, Google Forms for our online contact form, and Google Meet for the video calls we hold with you. Google acts as our data processor under our contractual arrangements with them. You can read Google’s privacy information at policies.google.com/privacy.
Cloudflare, Inc. processes data on our behalf as the provider of our website hosting and content delivery network. Cloudflare may process technical information (including IP addresses) to deliver and secure the website. You can read Cloudflare’s privacy information at cloudflare.com/privacypolicy.
Other recipients. We may share information with our professional advisers (such as lawyers and accountants) where necessary; with regulators or law enforcement where we are required to do so by law; and with a buyer or successor in the event of a merger, acquisition or business transfer.
5. International transfers
Both Google and Cloudflare may process data outside the United Kingdom, including in the European Economic Area, the United States and other locations. Where this happens, we rely on the safeguards required by UK data protection law, including transfers to countries that the UK Government has determined provide an adequate level of data protection (currently including the European Economic Area), or the UK International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses where required.
If you’d like more information about these safeguards, please email info@satiee.co.uk.
6. How long we keep your information
We hold personal information only for as long as we need it for the purposes described in this policy.
Demo bookings and contact form submissions are kept for up to 24 months from the date of your last interaction with us. After that, we delete or anonymise your information, unless we are required by law to keep it longer.
Hosting and security logs are retained for the standard period operated by our hosting provider, typically up to 30 days.
If you become a customer of the SATIEE platform, retention will be governed by your customer agreement with us.
7. Cookies and similar technologies
This website does not use cookies for marketing, advertising or analytics purposes.
Our hosting provider, Cloudflare, may set a small number of strictly necessary technical cookies that are required to deliver and secure the website (for example, to detect malicious traffic). Under the UK Privacy and Electronic Communications Regulations (PECR), strictly necessary cookies of this kind do not require your consent.
If we add additional cookies in future (for example, analytics cookies), we will update this policy and ask for your consent before they are set.
8. Marketing communications
We do not currently send marketing communications. If this changes in future, we will update this policy and obtain your consent before sending you any marketing emails.
9. Your rights
Under UK GDPR, you have the right to:
- be informed about how we use your personal information (this policy);
- request access to the personal information we hold about you;
- request correction of inaccurate or incomplete information;
- request erasure of your personal information (“right to be forgotten”) in certain circumstances;
- restrict processing of your personal information in certain circumstances;
- object to processing of your personal information;
- request portability of your information to another provider, where applicable;
- withdraw consent at any time, where we are relying on your consent; and
- lodge a complaint with the UK Information Commissioner’s Office (ICO).
To exercise any of these rights, please email info@satiee.co.uk. We will respond within one calendar month, as required by UK GDPR. We may need to verify your identity before we action your request.
If you’re not satisfied with how we’ve handled your request, you can complain to the ICO at ico.org.uk or by calling 0303 123 1113.
10. Security
We take appropriate technical and organisational measures to protect personal information against unauthorised access, accidental loss, alteration or disclosure. These include using reputable cloud providers (Google and Cloudflare), restricting access to information on a need-to-know basis within our team, and keeping our systems up to date.
No system is completely secure. If you suspect your personal information has been compromised, please email us immediately at info@satiee.co.uk.
11. Children
The SATIEE website and services are aimed at organisations and adult professionals. We do not knowingly collect personal information from anyone under 18. If you believe we have collected information from a child, please contact us at info@satiee.co.uk and we will delete it.
12. Changes to this policy
We may update this policy from time to time to reflect changes in our practices, our service providers, or the law. When we make material changes, we will update the “Last updated” date at the top of this page and, where appropriate, notify you (for example, by email if we hold your contact details and the changes are significant).
